What Leapova Set Up

Everything below is background detail — nothing to memorize, just here if you ever want to know what a tag means or why something looks a certain way.

Where each piece of data lives

Name, email, phone, tags

Syncs both directions.

Leapova matches records by a stable internal ID on both sides, not by phone number or email. You can update a customer's phone number or email in either platform without breaking the connection between the two records.

Birthday / anniversary

Syncs both directions. Shopify needs a year even though PB doesn't track one, so the current year is filled in automatically — cosmetic only.

Notes / message history

Not synced. Project Broadcast stays your system of record for conversations.

Mailing address

Not synced. Planned feature.

QUIRK #1

Adding details to a Project Broadcast contact right after creating it

When you first create a contact in PB, only a limited set of fields is available. It's the edit after creation, not the creation itself, that pushes the contact into Shopify, since PB doesn't currently support triggering on contact creation.

In practice: create the contact, then make any edit (a birthday, a tag, anything), and that's what creates the matching record in Shopify.

QUIRK #2

Changing a customer's phone or email in Shopify

Shopify automatically unsubscribes a customer from marketing on that channel when you change their phone number or email: SMS if you change the phone, email if you change the email. This is Shopify's behavior, not something Leapova does.

It won't add the opted-out tag, since that only applies when a customer opts out themselves, so it's easy to miss. After editing contact info, check that customer's consent status and re-opt them in if you still want to message them.

QUIRK #3

Birthdays and anniversaries get a placeholder year

Birthdays and anniversaries sync in both directions, entering one in either platform pushes the month and day to the other. Shopify is the only one of the two that requires a full date with a year, so when a date lands in Shopify, the current year gets filled in automatically to satisfy that requirement.

That year is cosmetic. It doesn't affect anything else on the record, it's just what Shopify needs to save the date at all.
